Regarding the handling of official documents, the government has decided to treat business exchanges using chat tools that can exchange information immediately through personal computers and other devices as administrative documents, and to store those related to policymaking for more than one year.

According to the Cabinet Office, more than 90% of government agencies use chat tools such as "Teams" for business information sharing and reporting.

Based on this, the government has decided to treat business exchanges using chat tools at ministries and agencies as administrative documents.

Of these, those related to policy formulation and project implementation policies will be stored for more than one year in a form that shows the date and time of the exchange, the parties involved, the affiliation, etc., so that they can be verified after the fact.

It is said that the chat screen will be saved reliably by leaving it using the screenshot function or pasting it into other document processing software, so that it can be taken over even if the person in charge changes due to personnel changes.

The government intends to ensure that all ministries and agencies respond based on these common rules.
